Frequently Asked Questions
Honest answers to the questions you were going to ask anyway.
And a few you should ask but probably wouldn't.
-
The full suite: tax, accounting, payroll, and compliance to get your foundation solid — then tech & AI consulting, business coaching, and advisory to actually grow the thing. Compliance keeps you legal. Advisory makes you money. We do both, on purpose, under one roof.
-
Nope. We acutely understand what it's like to run a big business in a small town — we do it ourselves — but we work with growing, operationally complex businesses anywhere in the U.S. Remote-first, tech-forward, and yes.
-
It starts with an application (short, painless, occasionally revealing). If we're a fit, we design a custom proposal — accounting, tax, and a tech + growth plan built around your business. From there, most clients keep us on year-round so systems, finances, and strategy stay aligned instead of drifting apart like a band after the reunion tour.
-
Depends on the service. Payroll: about 2 weeks to set up. Accounting: roughly 2 months — we need to run the monthly cycle twice to work out the kinks and get all the access sorted. Advisory: ongoing — after an initial onboarding deep-dive, we set a regular meeting rhythm and stick to it.
-
Communication. That's the big one. Answer messages within a few business days, show up to scheduled meetings, and send documents before the deadline instead of interpretively after it. We'll carry the heavy load — but this is a partnership, not a drop-box. If your plan is to ghost us for a quarter and reappear with a shoebox, we will lovingly refer you elsewhere.
-
With love: no. One-and-done returns are exactly the rushed, reactive service we built this firm to not provide. If you want a year-round partner who plans ahead, we're your people. If you want a form filled out in April by someone you'll never speak to again, there's a kiosk for that, and we wish you both well.
-
Selectively, yes. We cap our client list so the ones we have get actual attention — wild concept in this industry. The application is how we manage the door. If we're full or you're not a fit yet, we'll tell you straight and point you somewhere good in the meantime.
-
Every package is custom-scoped to your business, so there's no rate card to screenshot — but we won't be coy: we aren't cheap. Sorry. You're buying a year-round team that plans, teaches, answers, and treats your P&L like family. We keep scope tight, review it annually, and never expand your package unless you genuinely need it. Money for nothing isn't on the menu; money for a business that runs better is.
-
Business and personal returns, year-end filings, and — the part most firms skip — proactive tax planning throughout the year. The goal: minimize surprises, stay compliant, keep more of what you earn. Filed calmly. No 2am energy-drink heroics. We’ve got your payroll, sales tax, annual reports, and more handled too.
-
Yes and no. Baseline: you can email and text. That's it. Everything else, we set up, train you on, and keep simple enough to actually use. What you do need is willingness to learn — we can teach tools, but we can't install curiosity.
-
We analyze your costs, margins, and market demand so you can stop guessing. Many business owners under price out of fear or because they don't know their break-even point. We help you find the price that attracts customers and keeps your business sustainable. We can also dig into your expenses and help decide what’s needed, what could be cut, and what could be downgraded. We also work with some of the mindset issues that commonly come up for owners at this stage of business.
-
Yes. Tariffs and freight charges can crush margins if you’re not paying attention. We help you track the impact, adjust pricing or sourcing, and protect your profit. The current environment demands a more proactive approach and the ability to pivot fast.
-
Accounting tells you what happened. Coaching helps you do something about it — pricing, sales, growth, the decisions that keep you up at night. We translate numbers into strategy, so you're not just IRS-compliant, you're actually profitable. There's a difference. It's usually about six figures.
-
Tax planning minimizes what you owe. Coaching maximizes what you make. Together, they ensure your business isn’t just surviving tax season, it’s growing year-round.
-
Tax preparation reports what already happened. Tax planning is proactive—it looks ahead to minimize what you’ll owe and create strategies for the year. If we do your accounting, we also offer a few quarterly tax reviews throughout the year.
-
Tax planning minimizes what you owe. Coaching maximizes what you make. Run together, your business isn't just surviving tax season — it's growing all year while everyone else is hyperventilating in April.
-
Yes. Advisory services, tech, and change management do cost money. Your business should be large enough to have complexity that needs to be managed. Our smallest clients generate $400-$600k in gross revenue. Our largest clients are nearing 8-figures in gross revenue and multi-state teams.
-
We start with an application to understand where you’re at and what you need. If we’re the right fit, we design a custom accounting proposal and tech + growth plan. From there, you can keep us on for coaching, accounting, and tax support—so your systems and finances stay aligned as you grow.
-
It varies. For payroll, we need to get set up within 2 weeks. For accounting, it usually takes 2 months to complete the monthly cycle twice, work out the kinks, and get all the access we need. Advisory is ongoing; after an initial onboarding meeting, we set a regular time to meet.
-
Yes. Tariffs and freight can quietly eat your margins alive if nobody's watching. We track the impact, adjust pricing or sourcing, and protect your profit. The current environment punishes slow reactions — we help you pivot fast instead of finding out at year-end what the last twelve months cost you.
-
Yes, but the honest answer is that your kids don’t want it. They just want the money from when you sell it.
Exit prep starts years before the exit and really starts with a profitable, systematized business that can run without you. That’s what an investor will buy.Clean books, documented systems, a business that runs without you in every decision: that's what buyers pay for and successors survive on. Whether you're eyeing a sale, retirement, or handing the keys to family or a key employee, our Advisory tier is built for exactly this. The final countdown goes a lot better with a plan.
-
Yes — with data, not pep talks. We show you which products, services, and customers actually generate profit, then build strategies and offers to grow the winners and cut the dead weight. Sweet dreams are made of margin. Who are we to disagree?
There are also certain things to do at certain levels of business. But it can seem like a bit of a mystery of when to do them. We help you through your own growth scale and figure that out.
-
We analyze your costs, margins, and market so you can stop guessing. Most owners underprice out of fear or because nobody ever showed them their break-even point. We find the price that attracts customers and keeps you sustainable — then we dig into expenses: what's needed, what's cut-able, what's downgrade-able. And yes, we work on the mindset stuff too, because underpricing is rarely a math problem. It's a confidence problem wearing a math costume.
-
QBO is the heart of your financials — but a heart needs a circulatory system. We connect your ledger to sales, operations, payroll, and point of sale so your numbers drive decisions instead of sitting in a report nobody opens. Books alone are useless. Books connected to everything? That's where the magic happens.
-
That's exactly our lane. We help you replace hard-to-fill roles with systems and automation, so the business grows even when the labor pool is a puddle. We can also advise on remote and offshore hiring if that's on the table. We're in the same rural-labor-market boat — we got creative solving this for ourselves first, and we'll show you what actually worked.
-
Yes, and we're rigid about it: encrypted client portal for document exchange (never email your tax docs to anyone, including us — we'll send you the portal link), password management on every credential, and access limited to the team members who actually work your account. Your numbers are your business. Keeping them locked down is ours.
-
Yes — we work exclusively with QuickBooks Online. Not because it's flawless, but because it currently has the best ecosystem of apps, connectors, and accessibility in the game, and one platform done expertly beats five done adequately. On desktop or something else? Migration is part of onboarding, and we'll hold your hand the whole way. If something genuinely better ever ships, we'll be first in line. Until then: QBO, squeezed for everything it's worth.
-
Choosing and setting up the right tools, software, and AI so your business runs smoother, saves time, and scales — without buying five shiny subscriptions you'll never open. We have deep, specific experience with what actually works for farmers, contractors, and service providers. The graveyard of unused SaaS is vast. We keep you out of it.
-
Done right: it replaces repetitive admin work, streamlines bookkeeping, connects QuickBooks to your operations, and sharpens marketing and sales — like a virtual employee who never calls in sick. Done wrong: it's overwhelming, expensive noise on a stick. The difference is guidance. AI is here to stay and none of us are shaking it, so best to learn it — preferably with adult supervision. That's us. We're the adults. Mostly.
-
Almost certainly. Cleanup and catch-up work is its own project (scoped and priced before we start — no open-ended meters running), and we've untangled some genuinely impressive disasters. Bring us the mess. We've seen worse. Probably.

Deep breath — most IRS letters are boring, and panic is optional. As Enrolled Agents, we're federally licensed to represent you before the IRS in all 50 states. If a notice shows up, you forward it, we handle it. Don't call the number on a sketchy voicemail, don't pay anything from a text message, and don't spiral. That's what you have us for.
